Communication Overload: 5 Ways to Overcome It

Communication overload has become a very real problem nowadays. Many employees find themselves overwhelmed by the sheer volume of emails, updates, messages and meetings - often to the point where it tanks productivity.

If you want to help your team overcome this problem and ensure they don’t drown in a flood of messages, here are 5 things you need to do:

1. Clearly Define Communication Channels

Assign specific roles to each method of communication. For example, meetings can be on Zoom, quick and important updates can be sent via Slack, and email can be used for more detailed communication.

By defining communication channels in this way, you’ll create a clear set of expectations and eliminate a lot of the noise that goes through multiple channels.

2. Set Expectations for Responsiveness

Make it clear to employees what type of communication is considered urgent, and what isn’t. Then let them know when they’re expected to respond. For example, you can emphasize that they don’t need to check or respond to messages that aren’t urgent and can do so once they complete the tasks they’re on.

3. Identify Overloaded Team Members Early

With the help of monitoring software for employees such as Controlio, you can spot the early warning signs that employees are overloaded. It can track work hours as well as user activity, so you can tell when employees are working excessively long hours, taking too long to complete tasks, or constantly trying to juggle their workload.

Once you identify team members who are struggling, you can intervene quickly and prevent the issue from spiralling and getting worse.

4. Protect Focus Time

Encourage your team to dedicate blocks of time during which they focus solely on work and do not entertain any communication unless it is urgent. Cultivating this habit can help them to eliminate distractions and manage communications more effectively.

Monitoring tools like Controlio can be used to check that your team is focused on work during those blocks of time. Aside from tracking their activity, you can use its features to capture screenshots or screen recordings to ‘see’ exactly what they’re doing.

5. Limit Meetings

Try to limit the number of meetings that your team has to attend to only those that are absolutely necessary. Any meetings that don’t have a clear purpose should be cancelled and replaced with alternatives such as written updates that employees can go over in their own time.

Only keep meetings that truly matter and make sure each one has a clear agenda so it doesn’t drag on.

All these steps can help you to significantly cut down on unnecessary communication, and make it more manageable for your team to deal with. As you can see it is all about defining expectations, setting smart boundaries, and helping your team to effectively handle communication.

All said and done, your goal should be to help and support your team so they know what communication needs to be prioritized, and can do so while not being constantly distracted by unimportant messages.
